Crew & Passengers<\/h2>\n

The app uses your phone’s contacts to store crew and passenger details \u2014 except on Windows where a local database is used instead. This means your crew and passenger data is as secure as your own phonebook.<\/em><\/p>\n\n

Your crew and passenger list<\/h3>\n\n\n\n

Tap Manage Crew List<\/strong> (item 3 on the main menu) to see your saved crew and passengers. The list will be empty first time around. Once populated it shows each person’s name and passport number.<\/p>\n

Unlike aircraft, crew and passenger entries are validated as you save them \u2014 you will get warnings if any required data is missing.<\/p>\n

A note on contacts: phonebooks are often not well structured. For example, a family name may not be in a dedicated surname field but combined in a single name field. The app does its best to interpret this, but the more structured your contacts the better the results.<\/p>\n<\/td>\n

Adding a new crew member or passenger<\/h3>\n\n\n\n

On the crew list screen tap Add<\/strong> in the top right of the navigation bar. The add\/edit screen appears \u2014 it is a scrolling screen because there is a lot of information to capture.<\/p>\n

The Personal Details<\/strong> section contains fields for:<\/p>\n

Entering passport or ID details<\/h3>\n\n\n\n

Select which document to enter by clicking the appropriate radio button \u2014 Passport 1, Passport 2, or ID card.<\/p>\n

The first field is the MRZ (Machine Readable Zone)<\/strong> \u2014 the last line on the passport data page. This field is entirely optional. If you enter it, it will automatically fill in the component fields below. If you fill in the fields individually instead, the MRZ will be constructed for you.<\/p>\n

The component fields are:<\/p>\n

    \n
  • Passport short number<\/li>\n
  • Nationality<\/li>\n
  • Date of birth<\/li>\n
  • Gender<\/li>\n
  • Expiry date<\/li>\n<\/ul>\n

    The issuing state is almost always the same as nationality.<\/p>\n

    If entering the MRZ manually:<\/strong> the string must be exactly 28 characters \u2014 exactly as shown on the second MRZ line of the passport. Ignore any trailing < characters after 28 characters, but include them if they appear within the 28-character string. Note that date of birth and gender are taken from the Personal Details section.<\/p>\n

    Notes on non-standard passports:<\/strong><\/p>\n

      \n
    • Some countries do not use a standard 9-digit passport number. In the MRZ this may appear as: ER987345<9D<<6503101M3108309<\/code><\/li>\n
    • Germany does not use the 3-letter ISO code DEU \u2014 it uses just D<\/strong> with filler characters<\/li>\n
    • Trailing filler characters are ignored. Filler characters within the 28-character string are treated as spaces<\/li>\n<\/ul>\n<\/td>\n

Import a vCard<\/h3>\n\n\n\n

Tapping vCard<\/strong> gives two options:<\/p>\n

    \n
  • Request vCard<\/strong> \u2014 sends a message to a potential crew member or passenger asking them to send you their details as a vCard. The message includes full instructions on how to do this.<\/li>\n
  • Read vCard<\/strong> \u2014 opens a file picker. Navigate to the .vcf file you received, open it, and if correctly formatted the fields will populate automatically.<\/li>\n<\/ul>\n

    On most phones there is a facility to share contact details as a vCard (.vcf file). On Android<\/strong> be careful to ensure the Notes field is included when sharing \u2014 this is where the passport MRZ data is stored.<\/p>\n

    Ask your crew member or passenger to save their .vcf file somewhere easy to find (e.g. Downloads) before sending it to you.<\/p>\n

    Tapping Contacts<\/strong> lets you import details directly from your phonebook. Success depends on how structured the contact record is \u2014 many people do not keep addresses in their contacts, for example.<\/p>\n<\/td>\n

Scan a passport<\/h3>\n\n\n\n

Tapping Scan<\/strong> allows you to extract ID information by photographing a passport data page \u2014 or by importing a photo that a passenger has sent you.<\/p>\n

For best results:<\/strong><\/p>\n

    \n
  • The passport page should fill the frame with only a small margin \u2014 the example shown is about the limit of acceptable borders<\/li>\n
  • Good contrast with no reflections or shadows<\/li>\n
  • PNG files give the best results, JPG is also acceptable<\/li>\n<\/ul>\n

    The OCR will take a few seconds. A report of success (or otherwise) will appear \u2014 it is rarely 100% accurate so always check the results carefully before saving.<\/p>\n

    If you choose to scan from a saved photo, a file explorer will open and you must navigate to where the image is saved.<\/p>\n

    The OCR reads the MRZ lines<\/strong> at the bottom of the passport page. You can also use the MRZ directly \u2014 enter the 28-character MRZ line 2 into the Notes field of a contact, or into the long passport number field in the crew\/pax form, and the app will populate the other fields from it.<\/p>\n<\/td>\n
