creating a declaration

Before you start

Make sure you have already set up at least one aircraft and added all crew members who will be on this flight. The GenDec will not be complete without these.

A GenDec must usually be submitted before departure. Prepare it on the ground, not in the air.

Creating a new manifest

  1. From the home screen, tapCreate Manifest / GenDec.
  2. Select theaircraftfor this flight from your saved list.
  3. Enter thedeparture aerodrome(ICAO code) anddestination aerodrome.
  4. Set thedate and estimated departure time(UTC).
  5. Addcrew membersto the manifest — tap each name to include them.
  6. Add anypassengersif required by the destination country.
  7. Review the completed form, then tapSaveorSubmit.
Passenger requirements vary by country. Check the rules for your specific destination — some countries require full passenger passport details on the GenDec, others do not.

Flight details — field by field

Departure / Destination (ICAO)

Use the 4-letter ICAO aerodrome code (e.g. EGKB, LFAT). Do not use IATA codes.

Date and time

Always enter times in UTC (Zulu), not local time. This is the standard for aviation documents.

Aircraft

Selecting your saved aircraft will automatically fill in the registration, type, and operator details. If these are wrong, update them in Aircraft Setup first.

Crew in command

The first crew member in the list is treated as Pilot in Command. Drag to reorder if needed.

Nature of flight

Typically Private for general aviation. Select Other and enter a description if required by your destination.

All fields marked with an asterisk (*) are required for a valid GenDec. The app will highlight any missing fields before letting you submit.

Saving and submitting

Save as draft

Tap Save at any point to store a draft. You can return to it from the home screen under Recent Manifests.

Submit to server

If you are connected to a server (see Server & Connectivity), tapping Submit will send the GenDec directly. You will see a green confirmation when it is received.

Export / Print

Use the Share button to export the GenDec as a PDF for printing or emailing to the handling agent or border authority.

Submitting to a server does not replace your obligation to present the physical document if required. Check local requirements at your destination.

Editing and copying manifests

To edit a saved manifest, tap it in the Recent Manifests list and tap Edit. Note that a submitted manifest may be locked — duplicate it first if you need a new version.

To copy a previous manifest (useful for regular routes), tap Duplicate from the manifest detail view. This copies all fields — update the date, time, and crew as needed.
